Formal Complaint Regarding Customer Service Experience
I am writing to formally document a very disappointing customer-service experience at your store involving Reese Coffman, the assistant manager.
I came into the store expecting to ship through UPS and was informed that I would be charged $2 simply to print the shipping label. I explained that this was something I had not previously experienced and that I had assumed I was dealing directly with UPS.
During my conversation with the employee assisting me, Reese inserted herself into a conversation that did not involve her. Rather than simply explaining the distinction between UPS and a UPS Store, she repeatedly emphasized that “this is a UPS Store,” several times, in a manner that I found unnecessarily condescending. I understood the distinction after it was explained; what I found objectionable was the way it was communicated to me.
I ultimately told Reese directly that I felt she was being rude. Unfortunately, rather than de-escalating the situation, the interaction continued in a manner that I found inappropriate for someone in a management position.
Interestingly, as another customer was leaving the store, he voluntarily commented that he had always received good service from Reese and thought she was great. I have no reason to dispute his experience, and I recognize that different customers can have very different interactions. However, his comment does not change my own experience or the way I was treated during this particular interaction.
What concerns me most is that this was not simply an unpleasant interaction with an employee. Reese is an assistant manager and therefore represents the store’s management and the franchise. I expect someone in that position to be capable of handling a customer who has a question or misunderstanding without making the customer feel belittled or spoken down to.
I subsequently brought my concerns to Jodie, the store manager. Unfortunately, I felt that my complaint was immediately met with a defense of Reese rather than an objective effort to understand what had occurred. That response was particularly disappointing because I was not simply looking for an argument or special treatment. I was attempting to provide feedback about an interaction that I felt was inappropriate.
I have also noticed that other customer reviews appear to raise concerns about Reese’s customer service and professionalism. I understand that reviews represent individual experiences, and I am not suggesting that every review should be taken as fact. However, when similar concerns appear repeatedly, I believe they warrant attention from ownership.
I am therefore asking that the owner or franchisee personally review this complaint and the circumstances surrounding my interaction with Reese and the subsequent handling of my complaint by store management. I would appreciate a response explaining how this matter will be addressed.
I am not writing this simply because I was unhappy about a $2 printing charge. The charge itself is not the issue. The issue is how I was spoken to and treated when I asked a reasonable question about a charge I had never previously encountered.
I hope ownership will take the time to review this objectively. Customers should be able to ask questions and express concerns without feeling that they are being talked down to, particularly by someone in a management position.
