This review is to provide personal experience and to provide others with information that may find themselves in a similar situation. Lessons learned.
My wife (Pat) was diagnosed in 2019 with dementia. Doctor said physical activity would be good, so we joined C16 South Surrey. Pat had a personal training, basically for the entire time. Keira was fantastic, gym decent.
When her dementia declined further at end-Nov I asked Victor Campos, GM C16 what was required to cancel and get a refund for Pat's remaining training sessions. They provided a medical form to fill out and to have our doctor sign it. Victor said he would pass it along to Josh Russell, Personal Training Manager. I did that 5 December, when I finally received the cheque, dated 01/27/2026 on the 10 March 2026 the total refund was to be $2,295.00. C16 assessed a holdback fee of $688.50.
I asked Josh why and he said that's the way it's done.the holdback fees are imposed on all medical refunds and "home address change" refunds. The amount is 30% of the total price of the services including taxes. I can't speak to why these fees exist or how the amounts were determined, but I've been assured that our administrative fees are aligned with the Business Practices and Consumer Protection Act.
As mentioned, all clients who cancel due to medical condition or moving away from any Club 16 locations have this fee included in their refund process. The only way that refunds are delivered in full is if a refund request is made within the first 10 days of the contract period.
I hope that this review can benefit others, especially if you have a disease or aliment that may not allow you or a loved one to continue with your personal training sessions. Or if you might get transferred or move, because the 30% holdback apparently applies.
If in doubt, don't sign up for personal training.
