I enrolled my child in the after-school program in April 2025 because they were excited to try it after hearing about it from friends. Unfortunately, after three weeks, I had to withdraw due to changes in my schedule. I communicated this to the site director, who confirmed that the withdrawal had been processed and that my account was “all set.” Fast forward two months into summer break, I was surprised to receive an email and repeated calls about my account. When I logged into my account, I saw a note saying my account has been flagged and upon checking the financial details I see a closing balance of $111.60 for May, despite having followed protocol and ensured payments were handled. I reached out to the program’s phone support and was told it might relate to a “two-week notice policy,” but they couldn’t confirm and told me to speak to the site director. I did so via email, and received an initial reply stating they would review my account right away, remove any fees that shouldn’t have been there, and follow up with me. However, several days passed without any follow-up or clarification, and I ended up getting the same calls about my account. I followed up again if they’d had the chance to review my account but I received no response. Eventually, I contacted their Family Support via email, once again seeking clarification regarding my account balance. They responded saying there is an outstanding balance of $111.60, giving a breakdown of the balance. The invoice was for two weeks and one of the weeks had already been paid for (I had the receipt for it). For the other week, my child was already withdrawn from the program, so there should not have been a charge at all. I double checked my payment receipts in my email inbox and there was one week I didn’t have a receipt for. So being fair and cooperative, I replied stating I was happy to pay for one unpaid week, but asked that they remove the incorrect charge for the week that my child didn’t attend. They confirmed my child had indeed not participated that week and told me the account balance had been adjusted to $60.80. I appreciated the correction and attempted to pay, but the adjustment wasn’t reflected in my account. I emailed them again, hoping to resolve this quickly and move forward, but once again, received no response! Once more, they disappeared just when resolution was within reach, despite having acknowledged the billing mistake. Weeks later, I was contacted by a debt collection agency regarding the unresolved amount. I had made every effort to communicate, clarify and resolve the issue. The program itself acknowledged the billing error, yet failed to follow through on the adjustment or offer basic responsiveness. This happened to me twice: clear attempts at resolution met with silence. The clear lack of follow-through and communication was frustrating, especially from a program entrusted with children’s care. I expected better coordination and accountability. UPDATE: The billing issue has since been resolved through my own efforts. I called Family Support directly, where a representative confirmed that the adjusted amount was approved and it would be updated by the billing department and offered a sincere apology. I also contacted the debt collector myself just to ensure the correction would be processed. I’m updating my rating to 2 stars to reflect that the billing issue was resolved, though the process required multiple steps and initiative on my part. I appreciate that the matter is now closed.
