  Customer Service Concerns and Recommended Improvements 1. Verify Vehicle Availability Before Referring the Customer If a customer is requesting a different type of vehicle and is referred to a sister store, the receiving location should be contacted first to verify that the requested vehicle is actually available. Customers should not be sent to another location without confirmation that the vehicle they need is there. 2. Ensure Vehicles Are Smoke-Free Before Delivery Vehicles should be thoroughly inspected to ensure they do not smell like cigarette or smoke odors, particularly when it appears someone may have recently smoked inside the vehicle. This should be addressed during the cleaning and inspection process before the vehicle is provided to the customer. 3. Improve Communication When Insurance Is Handling the Claim When an insurance company is responsible for the financial portion of the rental and there is a delay in communication or payment, the customer should not be repeatedly contacted regarding matters that are being handled between the rental company and the insurance provider. The rental company should work directly with the insurance company to resolve those issues whenever possible. 4. Customer Should Not Bear the Cost of Service Failures Considering the inconvenience and additional issues experienced—including repeated phone calls, being sent on a “wild goose chase” to another sister store, and initially being provided a substandard vehicle—the customer should not be responsible for additional charges resulting from these service failures. Any costs that were not covered by the insurance company but resulted from the rental company’s handling of the situation should be considered for absorption by the company as a goodwill gesture. Overall Concern The customer should not have to bear the financial or personal burden caused by communication failures, inadequate vehicle preparation, incorrect referrals, or a vehicle that did not meet reasonable expectations. The focus should be on resolving the issue efficiently, taking ownership of mistakes, and ensuring the customer is not penalized for circumstances that were outside of their control.
