    Subject: Formal Notice of Deceptive Service Documentation and Improper Diagnostic Conduct Don CochranPremium Velocity Auto / Jiffy Lube Franchise Management Mr. Cochran, This letter serves as formal notice regarding the circumstances surrounding the service performed on my vehicle and the events that followed. Your shop issued an invoice stating that the transmission fluid level had been checked. However, the transmission in my vehicle is a sealed Ford system that requires a specific manufacturer procedure, temperature conditions, and diagnostic process to determine the fluid level accurately. The invoice documentation therefore raises a serious question: how could the level have been checked in accordance with Ford Motor Company procedures when those procedures were not followed? I personally provided the Ford Motor Company documented procedure for checking and diagnosing that transmission system. Despite that, the diagnostic path taken by Westmoreland Transmission shop had no technical basis for being considered thorough or compliant with the manufacturer’s required process. Adding to this concern is the fact that you contacted the shop before the diagnostic process was even completed. That sequence of events creates the appearance that conclusions were being shaped before a proper technical evaluation occurred. At best, it suggests a troubling lack of professional independence in the diagnostic process. At worst, it creates the appearance of conduct that could reasonably be viewed as conspiratorial or coordinated to reach a predetermined conclusion. Furthermore, the invoice stating that the transmission level had been checked, when the required manufacturer procedure was not followed, constitutes deceptive service documentation. Representing that a critical diagnostic step was performed when the conditions required to perform it properly were not met is unacceptable under basic automotive service standards and consumer protection principles. Only after the matter was elevated to Jiffy Lube corporate leadership did the situation begin to receive proper attention, and compensation was ultimately provided. That outcome itself reflects that the concerns raised were legitimate. Nevertheless, the facts remain clear: • A service invoice documented a procedure that could not have been properly performed under Ford’s required method.• The diagnostic path taken lacked the technical rigor required by the manufacturer’s service standards.• Communication from management before completion of the diagnostic process created an appearance of impropriety.• Corporate intervention was necessary before the matter was addressed appropriately. I expect this matter to be acknowledged as a serious failure in service documentation and diagnostic integrity. Customers place trust in professional service records. When those records reflect procedures that were not properly performed, that trust is broken. This letter documents my position and preserves the record of what occurred. Respectfully, L. A. Tanner PS: you still haven’t given me that diagnosis that the Transmission Shop gave you. Before you answer, all of the things that I wrote in my file should be considered. The how, why and when. Don’t try to separate what you want to highlight. The picture is clear no puzzle pieces are missing. You know the whole story. You said you wanted to keep it private, but I hadn’t heard anything from Mr. Cochran.
